Children Birthday Party Terms & Conditions
Terms & Conditions ​

By providing a payment, you agree that you have read, understood, and will abide by the club's rules, code of conduct, and details regarding our birthday parties. All participants must follow these guidelines, in addition to the relevant codes of conduct and policies.

1. Booking and Payment

A non-refundable payment is required to reserve a birthday party.
-
Payments can be made via the provided payment portal (Acuity Scheduling) or bank transfer. We do not accept cash as a form of payment.

We provide gymnastics or dance birthday parties. It is important that you advise which party you would like for your child.

2. Cancellations and Changes
-
Payments are non-refundable.
-
Any requests to change the date or time are subject to availability and must be made at least 10 days in advance.

3. Party Duration and Structure
-
Parties are a total of 90 minutes, including 60 minutes of gymnastics or dance activity.
-
You are welcome to set up 15 minutes before your scheduled time in addition to 15 minutes for clean up after your scheduled time. For example: If your scheduled time is 3:00 - 4:30 PM, you are welcome to arrive for set up at 2:45 PM and clean up until 4:45 PM.

Although we provide cups, plates and table cloths, you are welcome to bring additional decorations.

Any additional time will incur extra charges.

4. Supervision and Behaviour
-
A minimum of one responsible adult per 6 children must remain onsite throughout the party.

Children must follow the instructions of the coaches/staff at all times to ensure safety.

We reserve the right to stop any activity if behaviour is unsafe or disruptive.
​
5. Age and Participant Limits
-
Parties are suitable for children aged 4+ unless otherwise agreed.
-
Maximum number of participants is 15 to ensure a safe coach-to-child ratio.
-
There is an additional charge for having more than 15 children present, even if they are not part of the celebration.

Final attendance numbers must be confirmed no later than 5 days before the party.

6. Clothing and Personal Items
-
Children must wear comfortable clothing suitable for physical activity (e.g., leggings, T-shirts, leotards).

No jewellery is allowed during activities.
-
We are not responsible for any lost or stolen items during the party.
​
7. Food and Allergies
-
You may bring your own food.
-
We do not provide a birthday cake.
-
You are responsible for food related allergies your guest may have as you provide the food for the party.
-
You are responsible for bringing your own bags for your rubbish.
​
8. Photos and Social Media
-
We may take photos during the party for promotional use on our website and social media.
-
Please inform us in writing if you do not wish your child to be photographed.
​
9. Health and Safety
-
All coaches are trained and hold appropriate safeguarding and first aid certifications.
-
A risk assessment is carried out for all party activities.
-
Please do not attend if your child is unwell, has a contagious illness, or is recovering from an injury that prevents safe participation.

10. Liability
-
While every effort is made to ensure the safety of all participants, gymnastics and dance are physical activities and carry some risk of injury.

By booking a party, you acknowledge and accept these risks.
-
We accept no liability for injuries caused by failure to follow safety instructions or inappropriate behaviour.
